The reality in the field, little shared standard
Sales data lives across portals, emails, spreadsheets, and scans.
Settlement cycles and deduction rules vary by channel.
Internal document formats differ by team.
The result is familiar.
Net payout is hard to anticipate, disputes take time, and teams spend hours reconciling.
A portal screenshot from yesterday, a CSV from last week, a spreadsheet from accounting, and a photo of a receipt in the field, comparing and explaining these in one place is not simple.
Workarounds so far, and where they struggle
Spreadsheet templates help at first, then break on edge cases.
Each channel has a different login and export path.
Handoffs happen through screenshots and chat links, which weakens traceability.
Decisions slow down, and next week repeats the same work.
What we plan to build, an AI centered operations flow
The idea stays simple, upload, review, share. We aim for AI to handle the rest.
1) Standardize when you upload
Photos, PDFs, CSVs, and Excel files are uploaded, then AI aims to extract sales and deduction items and place them into a standard schema. It may flag total mismatches, duplicate vouchers, and missing refund matches.
2) Review through conversation
Based on the upload, the system intends to summarize key figures with source links.
Questions like today’s expected net payout, which deductions matter, or which receipts are missing can be asked and answered in plain language.
3) Share with a single link
After review, a proof link can be shared with partners. No install required, and when needed the link can guide readers to the underlying evidence.
4) Verify integrity on the blockchain
We plan to record a hash of the proof on chain to reduce the chance of tampering. Partners can compare the link with the on chain hash to check integrity.
What merchants could gain
More predictable net payout, with deductions reviewed in advance
Less repeat work, with reconciliation, attachments, and summaries assisted by AI
Shorter disputes, with evidence linked in one place
Stronger audit trails, with consistent change and view history
Formats and channels we aim to support
Files, photos, scans, and portal screenshots
CSV, Excel, PDF
Exports from channels, PGs, distributors, and ERPs
The goal is to start with a single file. Later integrations may expand automation.
Security and permissions, basics first
Encryption in transit and at rest
Role based access for teams and partners
Audit logs and change history, link expiration and access limits
Conversation led operations, in the language of the team
Automatic translation is planned so collaboration does not break across languages.
Summaries, tags, and to do lists are intended to keep everyone aligned on the same facts.
Why now
As settlement cycles stretch, operating cash tightens. Data volume grows while formats remain fragmented. Teams get busier, yet time to agreement does not improve. What is needed now is standardization and conversation grounded in evidence. The tool should remove friction. Upload, review, share, then move on.
What comes next
We are designing an upload based flow that combines AI assisted checks and summaries, conversation around linked evidence, and integrity verification. With early partners we expect to widen file support and absorb channel specific exceptions. Scope and timeline may change as we learn.
